Client Portals

Answer the question before it is asked.

Give customers a place to self-serve instead of emailing you.

The context

Why client portals keeps coming up

Client questions are expensive in a way that never appears on an invoice. Each one interrupts someone doing billable work, and the answer is almost always information that already exists somewhere.

A portal is worth building when the same handful of questions arrive constantly. Status, deliverables, documents, results. Surface those and most of the email disappears.

We have built this pattern several times, including Agency Aviator. The failure mode to avoid is a portal that recreates your internal tooling. Clients need a small number of answers, not your project management system.

The shift

What this replaces, and what replaces it

Problems this solves

What changes

The same status questions arriving by email and text

A large share of status inquiries eliminated

Account staff pulled off delivery to answer them

Account teams returned to delivery work

Documents and deliverables scattered across email threads

Clients who can see the value they are paying for

Clients with no visibility assuming nothing is happening

A clear record when a disagreement comes up

What we build

What this looks like in practice

Scope moves with the business, but this is the shape of nearly every build in this category.

Scoped client access

Every client sees their own work and nothing else, with permissions that hold up.

Status and deliverables

The specific questions clients ask most, answered on the first screen.

Document delivery

One durable place for files instead of a search through email history.

Approvals and feedback

Sign-off captured in the system with a record of who approved what and when.

Fit

This is a good fit if

If none of these are true, we will say so on the first call rather than three weeks in.

  • You answer the same questions repeatedly
  • Client communication lives in individual inboxes
  • Renewal conversations turn into justification exercises
  • Deliverables are hard for clients to locate
